Position Summary
We are seeking a highly organized and detail-oriented Order Entry / Order Processing Administrator to support our order processing operations. This is a hands-on, high-volume position that requires accuracy, efficiency, and strong communication.
The ideal candidate is comfortable working independently while also collaborating closely with the Sales and Warehouse teams to ensure orders are processed accurately and efficiently from order entry through invoicing and fulfillment.
Key Responsibilities
● Export and process customer orders into Sage system .
● Process a high volume of sales orders accurately and efficiently.
● Review orders for accuracy, completeness, quantities, and all required information.
● Send orders to the Sales team for review and communicate any discrepancies or questions.
● Enter and maintain order notes and updates within the system.
● Assist with quantity and stock adjustments on sales orders.
● Batch print packing slips and provide documentation to the Warehouse for order fulfillment.
● Work closely with the Sales and Warehouse teams to resolve order-related questions and issues.
● Create invoices accurately and ensure order information is complete.
● Assist with carton creation and updates related to shipping/ship notices.
● Manage and maintain our online product catalog.
● Assist with uploading and setting up new items in the online catalog, GXS .
● Perform general data-entry and administrative tasks as needed.
● Maintain accurate and organized order records.
● Communicate order status, changes, discrepancies, and other important information to the appropriate teams.
Qualifications & Skills
● Previous order entry, order processing, data entry, or administrative experience preferred.
● Working knowledge of Microsoft Excel .
● Basic computer skills and ability to learn new systems quickly.
● Strong attention to detail and accuracy.
● Excellent organizational and time-management skills.
● Ability to work efficiently in a high-volume, fast-paced environment .
● Strong written and verbal communication skills.
● Ability to work independently with minimal supervision.
● Team-oriented and willing to work closely with multiple departments.
● Hands-on, proactive approach with a willingness to assist wherever needed.
● Ability to prioritize multiple orders and tasks while meeting deadlines.
Hybrid Work Requirements
This is a hybrid position. The candidate must:
● Be available to work from the office several days per week.
● Have a reliable desktop computer and internet connection when working remotely.
● Be able to securely remote into company systems while working from home.
● Maintain the same level of productivity, communication, and availability whether working remotely or in the office.
Schedule: Monday–Friday, 9:00 AM–5:00 PM
Position Type: Temporary
Work Arrangement: Hybrid – must be available to work in the office several days per week and remotely as scheduled.
